There are a few ways you can do a Bulk Update on a group of client records. This can save you so much time in manually updating each client record at a time.
1 - Via User Reports
After generating a user report that is relevant to your update, select all the tick boxes on the left hand side, click Actions > Bulk update.
In this example, we are going to apply a bulk update to every client record that has a birthday coming up in the next 30 days. The update will be to change their adviser to Michelle Bartolo.
Select the field you want to update from the list.
In this example we are selecting 'Adviser'.
We then need to pick what data we are updating.
In this example, we are going to update all the ticked client records to have the Adviser as Michelle Bartolo.
After clicking Save, the update to be applied to all records in bulk.
Please keep in mind, if you have more than 1 page of client records you need to update, you need to repeat the process for each page.
i.e. go to the next page, tick all records, click Actions > Bulk Update, and so on.
2 - Via Advanced Search
Before jumping to a bulk update, we need to first do an Advanced Search to bring up a list of client records you want to apply this change to.
E.g. Michelle Bartolo is an adviser whom has left the practice and you need to do a bulk update to all her entities and change to Hannah Snowden as the new adviser.
After clicking Search, you will see your Search Results.
From here, you will be able to see the number of client records related to the search and how many pages worth if data.
Click all the tick boxes that you want to update, then click 'Actions':
Click 'Bulk Update':
Then apply the field you want to update, and the data you want to replace it with:
After clicking Save, you will have applied this update to all the ticked records in one go.
Please keep in mind, if you have more than 1 page of client records you need to update, you need to repeat the process for each page.
i.e. go to the next page, tick all records, click Actions > Bulk Update, and so on.
Bulk Update with Custom Fields
Did you know you can do a bulk update on a Custom Field?
You have to make sure that you are applying the update on a particular entity (in other words, not ALL ENTITIES).
For example, you can do a user report or an advanced search on Individuals only, and when selecting from the drop down list, you will be able to see the custom fields that were created under that entity type.
Updating ALL Client Records
Simply click the magnifying glass to bring up all client records in your search.
You can continue to tick all records, click Actions, and Bulk Update.
Please keep in mind, if you have more than 1 page of client records you need to update, you need to repeat the process for each page.
i.e. go to the next page, tick all records, click Actions > Bulk Update, and so on.
